Business Motoring: What you need to know about tax, VAT and vehicle choices

Motoring decisions can have a surprising impact on your tax bill. Whether you’re self-employed, running a charity, or managing a growing team, understanding the rules around vehicles is essential. Here’s a practical guide to help you make smart, compliant choices.


1. VAT on cars: The rules are tighter than you think

HMRC defines a car as a vehicle built mainly for carrying passengers. In most cases, you can’t reclaim VAT on buying a car, unless it’s used exclusively for business and not available for private use. That means no commuting, no weekend trips, and no grey areas. You’ll need clear evidence to back it up, including written policies and usage logs.


2. Leasing vs buying: Know the VAT implications

If you lease a car, you can usually reclaim 50% of the VAT. You can also reclaim VAT on business-related running costs, like repairs, servicing, and accessories fitted after purchase - as long as they’re used for work.


Buying a car outright offers different tax reliefs, but VAT recovery is usually blocked unless the car is strictly for business.


3. Vans, lorries and specialist vehicles

The rules are more generous for vans and other commercial vehicles. If they’re used for business, VAT is usually recoverable. Vehicles like hearses, ice cream vans, mobile shops, and anything with a payload over one tonne often qualify. These aren’t considered “cars” under VAT rules, which makes a big difference.


4. Double cab pickups (DCPUs): A tax tug-of-war

HMRC recently reversed its decision to treat DCPUs as cars for capital allowances and benefit-in-kind purposes. That’s good news for businesses using these vehicles, but definitions still vary between VAT, capital allowances, and employee benefits. Always check before buying, especially if you’re planning to offer a vehicle to staff.


5. Keep records that stand up to scrutiny

Motoring claims are often challenged by HMRC. Keep detailed records of mileage, usage, and policies. If you’re reclaiming VAT or claiming capital allowances, make sure your documentation is clear, consistent, and up to date.
